About the Opportunity

Rapidly growing, multi-unit restaurant organization seeking a highly capable Executive Assistant to support the Founder and CEO. This is a newly created role that offers a unique opportunity to work directly alongside ownership and gain exposure to virtually every aspect of the business.

The company operates multiple high-volume locations and has built a strong reputation for operational excellence, customer satisfaction, and sustainable growth. With an established infrastructure and ambitious expansion plans, the organization is seeking a proactive, organized, and resourceful professional who can help improve efficiency, manage priorities, and support key strategic initiatives.

This position is far more than a traditional administrative role. The Executive Assistant will serve as a trusted partner to the CEO, helping manage business priorities, coordinate projects, conduct research, support decision-making, and assist with a variety of operational and strategic initiatives across the organization.

Position Overview

The ideal candidate is highly organized, detail-oriented, self-motivated, and comfortable working in a fast-paced entrepreneurial environment. Success in this role requires exceptional follow-through, strong communication skills, sound judgment, and the ability to manage multiple priorities simultaneously.

The Executive Assistant will collaborate closely with company leadership, department heads, and external partners while supporting both business-related initiatives and occasional personal projects. This individual should be comfortable wearing multiple hats, solving problems independently, and identifying opportunities to improve processes and organizational effectiveness.

Key Responsibilities

Executive & Strategic Support

  • Manage and coordinate the CEO’s calendar, priorities, and daily workflow.
  • Ensure critical business initiatives remain on track and receive appropriate follow-up.
  • Assist with project management and execution of strategic initiatives.
  • Improve communication flow and accountability across departments.
  • Monitor implementation of key business decisions and operational changes.
  • Identify opportunities to improve efficiency, productivity, and organizational performance.

Research & Business Analysis

  • Conduct research related to industry trends, competitors, operational improvements, and growth opportunities.
  • Prepare reports, presentations, proposals, and business summaries for leadership review.
  • Analyze information from multiple sources and provide clear recommendations.
  • Support special projects and strategic planning initiatives.

Vendor & Purchasing Coordination

  • Source products, services, and vendors as directed.
  • Obtain pricing, proposals, samples, and competitive bids.
  • Coordinate communications with suppliers and service providers.
  • Organize information and recommendations for leadership decision-making.

Administrative & Operational Support

  • Coordinate cross-functional projects and departmental initiatives.
  • Maintain organized records, documentation, and reporting systems.
  • Support operational follow-up across multiple locations.
  • Assist with various business administration functions as needed.

Human Resources & Compliance Support

  • Assist with administrative aspects of employee relations, compliance matters, and documentation.
  • Coordinate information gathering and communication with external partners when necessary.
  • Support internal processes to improve response times and organizational effectiveness.

Technology & Systems Support

  • Utilize business software, spreadsheets, and productivity tools effectively.
  • Assist with troubleshooting basic office technology issues.
  • Help identify and implement tools that improve organizational efficiency.
  • Maintain accurate reporting and data organization.

Personal Project Support

  • Assist with occasional personal projects and administrative needs for the CEO.
  • Conduct research, coordinate vendors, gather proposals, and organize information for review.
  • Manage scheduling and logistics for select personal initiatives.

Qualifications

  • 3+ years of Executive Assistant, Chief of Staff, Operations Coordinator, Project Coordinator, or similar experience.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Advanced proficiency with Microsoft Office, Google Workspace, and business productivity tools.
  • Strong research, analytical, and problem-solving capabilities.
  • Comfortable working independently with limited direction.
  • Ability to prioritize effectively in a fast-paced environment.

Compensation & Benefits

  • Competitive base salary: $90,000 – $110,000, depending on experience

Schedule & Work Environment
